PRIVACY POLICY
JC Paralegal Services

JC Paralegal Services is committed to protecting the privacy, confidentiality, and security of personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA), applicable Ontario legislation, and the professional obligations imposed by the Law Society of Ontario.

Collection of Personal Information

We collect personal information necessary to provide legal services and operate our practice. This may include:

• Name, address, telephone number, and email address
• Identification information
• Financial information relevant to your legal matter
• Information and documents relating to your dispute or proceeding
• Billing and payment information

Personal information is collected directly from you unless otherwise authorized or required by law.

Use of Personal Information

Personal information is used solely for:

• Providing legal representation and advice
• Preparing court and tribunal documents
• Communicating with clients, courts, tribunals, and opposing parties
• Complying with regulatory and professional obligations
• Billing and payment processing

We do not sell, rent, or trade personal information.

Confidentiality and Professional Obligations

JC Paralegal Services is regulated by the Law Society of Ontario and is bound by the Paralegal Rules of Conduct.

In particular, Rule 3.03 (Confidentiality) requires that all information concerning a client’s affairs acquired in the course of a professional relationship be held in strict confidence and not disclosed unless authorized by the client or required by law.

All client information is treated as confidential and protected in accordance with professional standards governing licensed paralegals in Ontario.

Disclosure of Information

Personal information may be disclosed:

• To courts, tribunals, and opposing parties where required for your legal matter
• To third-party service providers (such as secure cloud storage providers or payment processors) who are bound by confidentiality obligations
• Where disclosure is required by law, court order, or regulatory authority

Data Security

We maintain administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, disclosure, misuse, or loss. Access to client files is restricted to authorized personnel.

Electronic communications, including email, may not be completely secure. By communicating electronically, you acknowledge and accept inherent security risks.

Retention of Information

Client files and personal information are retained in accordance with Law Society of Ontario record-keeping requirements. Files are generally retained for a minimum of seven (7) years after completion of a matter, unless longer retention is required by law or professional obligation. After the retention period, files may be securely destroyed.

Website Information

When visiting our website, limited technical data such as IP address, browser type, and usage data may be collected for security and analytics purposes. This information does not personally identify you unless you voluntarily provide identifying information through contact forms.

Access and Correction

You may request access to your personal information or request correction of inaccurate information, subject to legal and professional limitations.
